Team & Permissions

Manage your brokerage team and control who can access loads, rates, and carrier data.

Adding Team Members

Go to SettingsTeamAdd Member:

  1. Enter their email address
  2. Select their role (see roles below)
  3. Click Send Invite

They'll receive an email with a link to set their password and join your workspace. You can revoke invites that haven't been accepted.

Roles & Permissions

Admin

  • Full access to all features
  • Can manage team members, change billing, adjust settings
  • Can view all loads and financial data
  • Can configure integrations and API keys
  • Can pause/cancel the account

Use case: Broker owner, operations manager

Broker

  • Can create, edit, and post loads
  • Can accept carrier quotes and manage shipments
  • Can view all loads created by their team (or all if account-wide visibility)
  • Cannot manage team or billing
  • Can view their own earnings

Use case: Load planners, freight brokers

Dispatcher

  • Can update load status, add tracking notes, and handle exceptions
  • Can only view loads they're assigned to (or all if visibility is unrestricted)
  • Cannot create new loads
  • Cannot access billing or settings

Use case: Logistics coordinators, customer service reps

Viewer

  • Read-only access to all reports, dashboards, and analytics
  • Cannot create loads or modify anything
  • Can export reports

Use case: Finance team, auditors, executives reviewing KPIs

Managing Visibility

By default:

  • Admins & Brokers see all loads in the account
  • Dispatchers see only loads assigned to them
  • Viewers see summary dashboards (no specific load details unless granted)

To restrict access further, go to SettingsPermissions:

  • Load visibility by region — some team members only see loads in their geographic area
  • Team-based access — each team (East Coast, West Coast, etc.) sees only their own loads
  • Financial data restriction — hide rates/margins from certain roles

Deactivating Users

If a team member leaves, go to SettingsTeam → click the user → Deactivate. They lose access immediately. Their loads remain in the system but they can't make changes.

To fully remove them from reports, go to Archive this user after 90 days. This removes their name from historical load records.

Audit Logs

Go to SettingsAudit Logs to see:

  • Who created/edited/deleted loads
  • When rates were accepted
  • Payment status changes
  • Settings modifications
  • Team member additions/removals

Logs are retained for 2 years. All timestamps are in your account timezone.

SSO (Single Sign-On)

Available on Enterprise plans. Contact matt@freightconnect.ai to enable Google Workspace, Okta, or other SAML 2.0 providers. This allows:

  • Team members to sign in with their company Google/Okta credentials
  • Automatic user provisioning when someone joins your org
  • Automatic deprovisioning when they leave
  • Enforced password policies from your identity provider

Session Management

Team members can be logged in on multiple devices simultaneously. To force logout:

  1. Go to SettingsTeam → select the user
  2. Click Sign out all sessions

This logs them out everywhere immediately.
